Privacy Policy

This Privacy Policy explains what information we collect when you use CleaningBiz Toolkit (the Service), how we use and share it, and the choices and rights you have. By using the Service you agree to the practices described here.

1. Who we are

CleaningBiz Toolkit (we, us, our) operates the Service. We are the data controller of the personal information we collect through the Service. You can contact us at support@cleaningbiztoolkit.com.

2. Information we collect

We collect information in the following ways:

  • Account information: name, business name, email address, password (hashed), country/region, and other profile details you provide.
  • Billing information: subscription plan, transaction history, and limited payment metadata. Full card details are handled directly by our payment processor and are not stored on our servers.
  • Usage data: pages visited, features used, resources viewed or downloaded, search queries, device, browser, IP address, and approximate location, collected via cookies and similar technologies.
  • AI assistant data: the prompts you submit, files or resources you reference, and the responses generated. We may use this data to operate, secure, and improve the assistant.
  • Communications: support messages, feedback, and email engagement (e.g. opens and clicks on Radar emails).

3. How we use information

We use information to:

  • Provide, operate, secure, and improve the Service;
  • Process subscriptions, lifetime purchases, and related billing;
  • Authenticate you and protect against fraud and abuse;
  • Send transactional emails (account, billing, security);
  • Send the weekly CleaningBiz Radar and product updates if you've opted in;
  • Respond to support requests and feedback;
  • Analyse usage to improve content, tools, and the AI assistant;
  • Comply with legal obligations and enforce our Terms.

4. Legal bases (where applicable)

Where the EU/UK GDPR or similar laws apply, we rely on the following legal bases: performance of a contract (to provide the Service and process billing); our legitimate interests (to secure, improve, and promote the Service); consent (for optional marketing emails and certain cookies); and compliance with legal obligations.

5. Sharing & sub-processors

We do not sell your personal information. We share information only with service providers needed to run the Service, under contracts that require them to protect your data, including:

  • Hosting, database, and authentication (Supabase);
  • Payment processing (our payment processor);
  • Email delivery (Resend);
  • AI providers that process prompts for the AI assistant;
  • Analytics and error monitoring providers.

We may also disclose information when required by law, to enforce our Terms, to protect rights, safety, and property, or in connection with a merger, acquisition, or sale of assets (with appropriate safeguards).

6. International transfers

We and our service providers may process your information in countries other than the one in which you reside. Where required, we use appropriate safeguards (such as standard contractual clauses) to protect your information when it is transferred internationally.

7. Data retention

We retain personal information for as long as your account is active and for a reasonable period after to comply with legal obligations, resolve disputes, prevent fraud, and enforce our agreements. You may request deletion of your account at any time; some information may be retained where we have a legal basis to do so.

8. Security

We use industry-standard administrative, technical, and physical safeguards to protect your information, including encryption in transit, access controls, and least-privilege practices. No system is 100% secure, and we cannot guarantee absolute security of information you transmit to or store on the Service.

9. Your rights & choices

Depending on your location (including under GDPR, the UK Data Protection Act, the Australian Privacy Act, and the CCPA/CPRA), you may have rights to:

  • Access the personal information we hold about you;
  • Correct inaccurate or incomplete information;
  • Delete your personal information;
  • Export a portable copy of your information;
  • Object to or restrict certain processing;
  • Withdraw consent for processing that relies on consent;
  • Lodge a complaint with your local data protection authority.

10. Cookies & tracking

We use essential cookies to keep you signed in and to remember your preferences, and analytics cookies to understand how the Service is used. You can control cookies through your browser settings; disabling some cookies may affect functionality.

11. Children

The Service is not intended for individuals under the age of 18, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can delete it.

12. Changes to this Policy

We may update this Policy from time to time. When we make material changes, we will notify active members by email or in-app notice and update the "Updated" date above. Your continued use of the Service after the changes take effect constitutes acceptance of the updated Policy.
